Missed-Call Text-Back for Contractors: How to Build It
Solve Trend9 min read

Missed-call text-back sends an automatic text to anyone who calls your business and doesn't get through. It goes out within seconds, asks what they need, and lets them answer when it suits them. The caller gets a reply instead of a voicemail beep. You get a written job description you can read between jobs, instead of a stranger who has already dialled the next plumber on the list.
This guide is for owners and office managers at trades and home-service businesses: plumbing, HVAC, electrical, roofing, landscaping, cleaning. It covers what a missed call costs, two ways to catch one, a node-by-node build in n8n and Twilio, six text templates, the rules in four countries, and what it costs to run. If you'd rather buy than build, our missed-call text-back software comparison covers the options, us included.
What does a missed call cost a contractor?
Roughly half of home-service calls never reach a person. Invoca's July 2026 benchmark, built from calls tracked on its own platform, found 52% of calls are answered by a person. Calls lasting over 15 seconds were answered 65% of the time, and calls over 30 seconds 73%. Answer rates ran from 32% to 74% depending on the trade (Invoca).
The callers who don't get through rarely wait around. When the marketing firm Valve+Meter sent service requests to 466 home-service companies, only 60% had responded within five days. If a company hadn't responded in the first six hours, there was a 75% chance it never would (Pro Remodeler). Meanwhile, Jobber's December 2025 survey found over 55% of customers expect a reply within the hour, and 28% expect one immediately (Jobber).
How does missed-call text-back work?
Your phone line hands every unanswered call to a small automation. The automation texts the caller from a business number, alerts you with the caller's number, and logs the call. Five steps, no app for the customer to install, nothing for you to do until they reply.

- A customer calls your business number and nobody picks up.
- The call moves to a Twilio number instead of your voicemail.
- Twilio tells your n8n workflow who called and what happened.
- n8n texts the caller and texts you the caller's number.
- The customer replies in their own time, and you answer from the job site.
Two ways to catch the missed call
You can let your carrier forward only the calls you miss, or you can send every call through Twilio and let Twilio decide what counts as missed. The first is simpler and keeps your phone setup untouched. The second gives you more control and call data.
Option A: conditional call forwarding (start here)
Most mobile and business carriers let you forward calls only when they go unanswered or the line is busy. Point that forward at your Twilio number. Now every call Twilio receives is, by definition, a missed call, and the workflow can text back without checking anything. The code to set it up varies by carrier and country, so search your carrier's name plus “conditional call forwarding”. Set the ring time long enough to let you answer, and short enough that it beats your voicemail.
Option B: route every call through Twilio
Here the public number lives on Twilio. Each call runs TwiML with a `<Dial>` to your cell, and when the dial ends Twilio calls your workflow with a `DialCallStatus` of `completed`, `busy`, `no-answer`, `failed` or `canceled` (Twilio). Text back on `busy`, `no-answer` and `failed`. One trap: if your cell's voicemail picks up first, Twilio sees a connected call and reports `completed`. Keep the dial timeout shorter than your voicemail delay, or add call screening so a voicemail box can't count as a person.
<?xml version="1.0" encoding="UTF-8"?>
<Response>
<Dial timeout="18" action="https://YOUR-N8N-HOST/webhook/missed-call" method="POST">
+1XXXXXXXXXX
</Dial>
</Response>Build it in n8n, node by node
The workflow has six nodes and no custom code. It runs on n8n Cloud or on a self-hosted n8n. We host client workflows on their own Railway account, so the client owns the automation and the data.
- Webhook (POST, path `missed-call`). Turn on Basic Auth and put the username and password in the URL you give Twilio (`https://user:pass@host/webhook/missed-call`). Twilio sends the caller's number as `From` in the form body.
- IF: for Option B, continue only when `DialCallStatus` is `busy`, `no-answer` or `failed`. For Option A, skip this node.
- Respond to Webhook: return TwiML straight away, with the content type `text/xml`. A short `<Say>` plus `<Record>` keeps voicemail working. Respond first and send texts after, because Twilio won't wait long for your workflow.
- Dedupe check: look the caller's number up in a Google Sheet, an n8n Data Table or your CRM. If you already texted them in the last 12 hours, stop. People redial when they're stressed, and one text is plenty.
- Twilio: Send SMS to the caller, from your business number, using one of the templates below.
- Twilio: Send SMS to you (or the on-call phone): “Missed call from +1…, texted back at 2:14 PM.” Then log the row.
<?xml version="1.0" encoding="UTF-8"?>
<Response>
<Say voice="alice">Sorry we missed you. We're texting you now. You can also leave a message after the tone.</Say>
<Record maxLength="120" playBeep="true" />
</Response>Want the reply to land in your CRM too? Add a second workflow on your Twilio number's incoming-message webhook. It matches the reply to the logged call by phone number, attaches the message to the lead, and pings whoever is on call.
Six missed-call text templates
Good text-backs do three things: say who you are, ask one question, and set an honest expectation. Keep each under 160 plain characters so it sends as one SMS segment. An emoji switches the message to a different encoding with a 70-character segment, so leave them out.
| When | Template |
|---|---|
| On a job (default) | Hi, it's [Name] at [Business]. Sorry I missed you, I'm on a job. What do you need a hand with? I'll reply by [time]. |
| After hours | Hi, [Business] here. We're closed for the night. Text us what's going on and we'll reply first thing tomorrow. Emergency? Reply URGENT. |
| Emergency trade (HVAC, plumbing) | [Business] here, sorry we missed you. If water's leaking or there's no heat, reply URGENT and our on-call tech will call you back. |
| Quote request likely | Hi from [Business]. Missed your call. Want a quote? Send the address and a photo of the job and we'll take it from there. |
| Existing customer (matched in CRM) | Hi [First name], it's [Business]. Sorry we missed you. Is this about the [job type] at [street]? Reply here and we'll sort it. |
| Weekend | Thanks for calling [Business]. We're off until Monday. Tell us what you need and we'll book you in first thing. Reply STOP to opt out. |
Send from the number your customers know
A text from a number nobody recognises gets ignored. With Option A, Twilio sends from your Twilio number, not the number the customer dialled. You have three fixes. Port your business number to Twilio, so calls and texts share one number. Ask your provider whether it can text-enable the landline you already have (some providers, including Twilio, offer this in some countries). Or keep the second number and say so in the first line: “It's [Business], texting from our office line.”
The rules in the US, Canada, the UK and Australia
A single text that answers a call the customer just made is the lowest-risk message you can send. Problems start when the follow-ups turn into promotions. This is a summary, not legal advice. If you text at volume, have a lawyer read your templates.
| Country | What applies | What it means for missed-call texts |
|---|---|---|
| United States | A2P 10DLC carrier registration; the TCPA | Register your brand and campaign before sending from a regular 10-digit number. Unregistered traffic is filtered and charged extra carrier fees (Twilio). Keep the reply about the call, not a promotion, and honour STOP. |
| Canada | CASL | An inquiry in the last six months is an existing business relationship, which supports implied consent (s. 10(10)(e)). A message that solely gives a quote the person asked for is exempt from consent, but it must still identify you and include an unsubscribe option (s. 6(6)(a) and 6(2)) (CASL). |
| United Kingdom | PECR, enforced by the ICO | Texts count as electronic mail. Marketing texts need consent or the soft opt-in, which covers people who bought or discussed buying from you and were given a clear opt-out (ICO). Keep the text-back strictly about their call. |
| Australia | Spam Act 2003, enforced by ACMA | Commercial messages need consent, must identify the sender and must include a working unsubscribe (ACMA). Name the business in every text. |
What it costs to run
Three line items, all usage-based. n8n: a Cloud plan, or a self-hosted instance on a small server. Twilio: a monthly fee for the phone number, plus a per-segment fee for every SMS (two per missed call: one to the caller, one to you). In the US, add the one-off and monthly A2P 10DLC registration fees. Prices change and vary by country, so check Twilio's SMS pricing and n8n's pricing for current numbers.
The sum to run: (missed calls per month × 2 × price per segment) + number rental + hosting. For a small trades business, the texts are the smallest part of the bill. The real cost is setup time and keeping the workflow healthy, which is why we wire every client workflow to an error alert.
When should you move up to an AI receptionist?
Text-back works when the job can wait an hour. It falls short when the caller has water pouring through a ceiling at 2 a.m. and needs a human now. Before buying an AI receptionist, add an URGENT keyword route: when a reply contains URGENT, forward it to the on-call phone and call the customer back. If you still miss jobs because nobody can take details live, then an AI receptionist that answers, books and routes emergencies is the next step.
Mistakes that make text-back backfire
- Texting landlines. Use Twilio Lookup's line-type check and skip numbers that can't receive SMS.
- Texting your own crew, suppliers and spam callers. Keep an exclude list and check it before sending.
- Sending three texts in five minutes because someone redialled. Dedupe by number.
- A template that says “Sorry we missed you!” and stops. Ask one specific question so they have something to answer.
- No alert to the owner. A text-back nobody sees just moves the missed call into a missed text.
- Promotions in the first text. It's a reply, not a flyer.
Missed-call text-back FAQ
Does missed-call text-back work?
It works when the text arrives fast and asks a real question. Valve+Meter found a 75% chance a company would never respond if it hadn't within six hours, so the bar is low: a reply in seconds beats most of your competitors on speed alone.
Can I do it without Twilio?
Yes. Telnyx, Vonage and Plivo sell the same building blocks (numbers, SMS and voice webhooks), and n8n can talk to any of them over HTTP. Some business phone systems and field-service apps include a basic text-back too. Check what you already pay for first.
How fast should the text go out?
Within a minute. Jobber's survey found 28% of customers expect an immediate reply, and the workflow above sends in a few seconds.
Will customers find it annoying?
One text that answers their call reads as good service. Two texts in five minutes, or a discount code, reads as spam. Dedupe by number and keep the first message about them.
Can I build this without n8n?
Yes, with Zapier, Make or a few lines of code on a server. We use n8n because clients can self-host it and own the workflow outright.
Want it running without touching TwiML? Our Speed-to-Lead Setup builds missed-call text-back and instant replies to every enquiry for a fixed CA$1,490, one time (see pricing). Next, read how to follow up on the quotes these texts turn into: estimate follow-up templates.
